Payroll and Accounting Specialist

Department: Finance/Accounting

Reports to: Controller

Location: Bremerton

FSLA Status: Exempt

Pay: $68K - $80K DOE

JOB SUMMARY :

The Payroll and Accounting Specialist is responsible for the accurate processing of payroll and for activities within the Finance/Accounting Department at SAFE Boats International. This includes importing time and all other relevant information into systems to ensure pay, benefits, garnishments, misc. deductions are captured and paid timely and accurately. They also perform tasks related to Accounts payable and or receivable, and other functions related to the Finance and Accounting Department as needed.

RESPONSIBILITIES :

Payroll-

  • Reviews time keeping system and other information to detect and reconcile payroll discrepancies.
  • Compiles employee time, production, and payroll data from automated time keeping system and other records and exports hours weekly into current system. Communicates with Supervisors and Managers and Accounting with any adjustments needed to boat or project information or time adjustments to ensure accuracy of data.
  • Processes payroll for multiple site locations for a variety of departments and roles.
  • Processes Employment verifications and employee garnishments.
  • Maintains current knowledge of payroll systems (HRIS, Accounting), plans for and implements changes accordingly.
  • Maintains an awareness of relevant compliance, regulatory and legal requirements related to payroll processing for Federal Contractors and Washington State Employers.
  • Trains and ensures a backup plan is in place for Payroll Processing (in the absence of the Specialist)
  • Pro- actively plans for any possible disruptions or delays to the timely and accurate receipt of payroll (holiday closures, software updates, etc)
  • Fields Team Member questions related to pay and compensation, refers to Human Resources or Department Managers as appropriate
  • Works closely with Finance to ensure Labor Related expenses are being captured and reconciled with Accounting and Finance accurately.
  • Produces reports related to Payroll on request and as needed by other Department Leaders
  • Works with CFO on tax strategy and tactics, including state and local nexus, as related to payroll (and benefits if/as appropriate)
  • Process Employee “purchases” via payroll deduction
  • Oversees the distribution of W2’s
  • Produces all Payroll related reports accurately and timely: Multi State Reports, CA State report, Etc.
  • May conduct filing of confidential documents into Team Member files
  • Maintains confidentiality and professionalism related to all forms of employee compensation at SAFE Boats.

Accounting/Finance Related Responsibilities-

  • Enters, reconciles, and Submits payment for employee benefits (insurances, etc)
  • Records bi-weekly payroll journal entries in accounting software
  • Assist with maintaining financial records, including ledgers, accounts payable, and payroll
  • Reconciliation of Employee PRD GL account
  • Records monthly PTO accrual journal entry
  • Assist with month-end closing process as needed
  • Funds HSA’s
  • Produces monthly and quarterly reports
  • Calculates and pays L and I tax
  • Provides Insurance information for the Census on a yearly basis
  • Submits annual (and any other related or required) ACA Reporting
  • Prepares and manages audits related to 401K and ESOP, research audit issues and responds to auditor questions and requests
  • Driver verification

Required Experience & Education:

  • High school graduate or equivalent required, degree in accounting/finance/human resources or related field desired
  • 3+ years processing and overseeing payroll functions for an organization of 300 plus Team Members (manufacturing or construction experience desirable)
  • Professional Certification or working towards Payroll Certification preferred; not required
  • Experience with project-based payroll
  • Experience with multi-state payroll & multi-state payroll taxes
  • Experienced with garnishments, benefits & 401K
  • Experience working in a fast- paced environment
  • Experience using payroll software. Experience with ADP/Time and Attendance preferred.
  • Experience using Microsoft Word, Adobe, email and the internet
  • Advanced experience using Excel is required (pivot tables a plus)
